Supply Website

The most commonly requested supplies are listed on and can be booked via supplies.gwrha.com. The supply website provides up-to-date quantity and availability information. New supplies are regularly added to the website.


Additional Supplies

Less commonly-requested supplies that are not listed on the website can be found on the non-inventoried supplies spreadsheet. To request an item from the sheet, email rhaoperations@gwu.edu. We cannot guarantee the availability of items on the spreadsheet.


Supply Use Procedure

Supply Categories

RHA-owned supplies fall into one of the following two categories, which are listed under their titles on the product page:

  • Rental: reusable items including games, machines, and decorations.

    • Rental items must be returned in their original condition.

    • Food machines must be cleaned by the Hall Council after use.

  • Single-use: disposable/consumable items such as paper plates, popcorn kernels, and sheets of paper and giveaway items such as RHA magnets, temporary tattoos, and stickers.

    • Single-use items may be given away, consumed, or used and thrown away during the course of an event.

    • Single-use items that are not thrown or given away during an event must be returned.


Booking

Supplies must be booked at least five days in advance of pickup. For all orders, including for single-use supplies, you must select a pickup and return time before checking out. 


When checking out, you must provide the contact information for your order. Only one person can serve as your order contact, so choose the person who will be doing the pickup and return. If the person picking up is different than the person returning, provide the information of whoever is the best contact.


In-Person vs. Asynchronous Pickups & Returns

RHA provides both in-person and asynchronous supply pickups and returns. After you have submitted your order, the Operations team will determine if your pickup and return is in-person or asynchronous and notify you accordingly.

  • In-person: pickups and returns that involve an RHA EBoard or Operations team member being physically present at the pickup/return time.

    • If you are notified that your pickup/return in-person, someone must be present at the selected times.

    • When picking up and returning, please fill out the RHA-Owned Supplies Pickup and Return form.

    • If you are no longer able to pick up or return supplies at their designated times, they must email rhaoperations@gwu.edu immediately.

  • Asynchronous: pickups and returns in which the supplies are placed in the bin outside the RHA office. 

    • If you are notified that your pickup/return is asynchronous, you must pick up and return your supplies during the selected period, but you do not need to do so at the exact times selected. 

    • When picking up and returning, please fill out the RHA-Owned Supplies Pickup and Return form.

    • If your return is asynchronous, you must return your supplies, including the bin they came in, no later than the selected return time.


Supply Rules

If RHA-owned machines are not returned at the designated time and the Hall Council does not contact the Operations team to find another return time or identify a solution, the Hall Council is not allowed to host any events, book supplies, or request online orders. Supplies may not be transferred between Hall Councils without the approval of the Operations team. In other words, all supplies must be returned to the Operations team before they can be used by another Hall Council.

Snow Cone Machine

Popcorn Machine

How to Use:

  • Step 1: Ensure the machine is clean and not broken before you start use

  • Step 2: Plug in the machine, turn of the light switch, and turn on the heat switch located on the front of the machine towards the top

  • Step 3: Put oil contained in kernel bags inside of the hanging pot located on the inside of the machine

  • Step 4: After letting the machine and oil heat for roughly 5 minutes, empty the kernels inside of the hanging pot where you put the oil earlier.

  • Step 5: Flip the stirrer switch located next to the light, and heat switch on the top of the machine.

  • Step 6: Wait for your popcorn to pop! (This may take a few minutes)

  • Step 7: Ensure the machine is clean and not broken before you return it; record any abnormalities or defects in the Supplies Return form.

(WARNING) - Machine will be hot so wait for it to cool down before you clean it

Cotton Candy Machine

How to Use:

  • Step 1: Ensure the machine is clean and not broken before you start use

  • Step 2: Latch the large metal bowl to the base of the popcorn machine using the four hooks and latches located on the side of the machine. The machine will not start if all four of these latches are not attached.

  • Step 3: Plug in the machine, and turn on the machine by using the switch located on the front of the machine

  • Step 4: After letting the machine run for a couple of minutes, turn on the heat and let the machine heat for a couple of minutes.

  • Step 5: Using the metal scoop provided, pour one scoop of desired sugar into the top of the base of the machine.

  • Step 6: After waiting a few seconds, take a cotton candy cone and start twirling it around in the inside of the bowl to make the candy stick to the cone 

  • Step 7: Ensure the machine is clean and not broken before you return it; record any abnormalities or defects in the Supplies Return form.

Chocolate Fountain

How to Use:

  • Step 1: Ensure the machine is clean and not broken before you start use

  • Step 2: Construct the fountain tower; take the 3 brown pieces and put them together starting with the longest piece on the bottom, then screwing that into the piece with the wide brown base, then screwing the top of the wide piece into the tiny small piece. 

  • Step 3: Attach the adjoined pieces to the machine itself. 

  • Step 4: Plug in the machine. Turn the dial on the front of the to the setting in the middle (at 12 O’ Clock) and let the machine heat up for a few minutes

  • Step 5: Once the machine has heated add the chocolate pieces to the bottom, silver part of the fountain. Wait for this chocolate to melt. (This make take a while so plan accordingly)

  • Step 6: Turn the dial on the front of the machine to the right-most setting (at 1 O’Clock) and watch the Chocolate flow!

  • Step 7: Ensure the machine is clean and not broken before you return it; record any abnormalities or defects in the Supplies Return form.
